Challenge
The event space was structured into three main themes: sustainable mobility, circular economy, and green buildings. Eight rooms were dedicated to sub-themes with multiple tables where executives from government and major corporations met with entrepreneurs. Every 45 minutes, new groups of entrepreneurs rotated between tables and rooms to listen to executives as they pitched their needs to the entrepreneurs. The challenge was to manage the group facilitators for each room, ensuring discussions stayed on track, and keeping the flow of the event uninterrupted.
Approach
My approach was to be proactive during the event by move between rooms during discussions sessions to support the facilitators and ensure conversations stayed productive. Between sessions, I gathered feedback to assess the value of the discussions and identify any adjustments needed. This helped maintained meaningful exchanges throughout the event.
Outcomes
By the end of the event, I had a strong sense of how valuable the discussions were. Weeks later, the feedback I gathered in real-time aligned closely with the survey results from the post-mortem. This confirmed that the event went smoothly and exceeded participants' expectations.
Best moment
Observing executives and entrepreneurs on some tables engaged in deep conversations minutes after the discussion sessions were over.
